Running a Convention

A convention is one event with many tables, and usually one small team handing out the seats. On OrbRPG it is a Guild Event with games attached to it, plus a few settings that move the work from each Game Master to you.

The event and its games

An event can run over several days, with its own hours for each day. Guild Events covers how to set one up.

Each Game Master attaches their game to the event with "Guild & Event", and it appears on the event page with the rest of the program.

Your guild's managers can run any attached game on behalf of its GM, players included. The GM is told about every change they make. See Managing Players.

Where players ask

"Convention Mode" in the event form decides where the contact button of every attached game leads.

  • "Message the GM" is the default. Each Game Master answers for their own table.
  • "Guild chat" brings every question into your guild's inbox. Your managers see which table the player asks about, and can seat them right from that chat.
  • "External chat link" sends players to your own Discord or WhatsApp group. Before they leave OrbRPG, they get a ready message with the game and their username, so you know whom to seat.

The external link is for verified guilds only. Our admins verify guilds, so write to us in Discord if you need it.

Games that are not attached to the event keep their usual contact button.

The waiting list

Switch on the "Waiting list", and players can join a list for any attached game. A place on the list is not a seat yet. The GM and Guild managers see the list in "Manage Players", right below the players already seated, and pick who gets a seat in any order.

A list belongs to the game at this event, so a game moved to another event clears the list.

The player form

The waiting list can come with a short form that players fill in once per event, such as how to reach them, or what you need to run the day, like a ticket number. You decide which questions to ask and which ones a player must answer.

Players see that the questions come from your guild, not from OrbRPG. Their answers wait for you in "Manage Players", next to each name.

Tables without a game chat

A convention table often has no use for a chat room of its own. Switch off "Game chat" in the game form, and seated players reach you through the event's contact button instead. It only goes off before the room exists, so decide before the first player is seated. See Game Chat Rooms.

Posters and table cards

"QR Code" on the event page shows a code that opens the event. Download it as a ready card with the title, dates and host, or as the bare code for your own design.
