Guild Events

A Guild Event brings your people together: a quest night, a social evening, a strategy session, or a convention over several days. Members tell you whether they are coming, and everyone who is gets a reminder.

An event is not a game listing, but games can be attached to it, so a convention's many tables read as one program. See Running a Convention.

Events are an add-on, so switch on "Guild Events" in the guild settings first.

Creating an event

Managers create events from the guild page. Besides a title and a description, the form asks when it happens, where, and how many people can come. A "Multi-day event (e.g. a convention)" gets its own hours for each day.

A cover picture makes the event easy to recognize. Image Sizes shows what size fits best.

An event could be online or in person, so people know whether to look for a link or an address. With an attendee limit, the event page shows how many places are left, and nobody can say yes once it is full.

Every event starts as a draft. Only managers and the guild's Approved GMs see it, so GMs can attach their games before the program goes public.

Publishing shows the event to everyone who can see the guild, and every member hears about it. You can still edit a published event, but it does not go back to being a draft. From then on, it either takes place or is cancelled.

Planning something like an earlier event? "Duplicate" any event, and the form for the new one opens with its details already filled in.

Saying you are coming

Members say whether they are coming, and can change their answer at any time. Managers see who is coming; members see only how many.

On a public guild, someone who is not a member yet joins the guild and the event at the same time.

Cancelling an event

A cancelled event cannot be brought back. Only the people who said they were coming are told about it. The rest of the guild gets no message. Managers can still see it afterwards; members can't.

Notifications

Events send their own notifications, from a new event to the reminder before it starts. You choose which ones you get in your notification settings.
